How to Delete a Duplicate City

 

The first step in deleting a city in Servant Keeper, is creating a group of every individual and family that has this city assigned to them.  This is very important because deleting cities without properly removing them first, as with any other field in Servant Keeper, can cause problems with your data in the future. 

 

1.     Open Membership Manager and click the Groups Keeper Icon at the top of the screen.

2.     Click the Add Group button.

3.     Choose to search by Individuals, and show Individual Fields.  In step 1. Select a Field to Search- City. Step 2. equal to- Step 3. “The name of the City exactly”.  In this example, the misspelled city is Indianapolis.  Click Add.  

 

When looking at your group of all Individuals with this particular city, the next step is globally changing every individual’s record to have the correctly spelled city. 

 

Click the Options button and choose Globally Change Fields.

 

After choosing Globally Change Fields, follow these instructions:

 

Step 1. City

Step 2. Replace with

Step 3. The correct spelling of the City

Step 4. Add

Step 5. Apply Changes

Next will be a screen saying that there is no Undo feature.  Click yes.

 

The screen will ask if you want to refresh results.  Click Yes.

  

Follow these steps again but using Family Criteria.

 

In Groups Keeper, choose to list search results using Family.  Show Family Fields.

 

Step 1. Select a Field to Search- choose City- step 2. Equal to- Step 3. “The misspelled City”. Add Criteria.  Click Save and Search.  You should now have a list of all Families with the misspelled city.  Click Options- Globally Change Fields. 

Step 1. City

Step 2. Replace with

Step 3. The correct spelling of the City

Step 4. Add

Step 5. Apply Changes

Once all the Families and Individuals have the correct cities in their Individual and Family profiles, you are ready to delete.

 

Do a RIGHT mouse click directly on the blue drop down box on the Individual profile of any individual.

 

Now the Edit City Screen will appear:

 

Locate the misspelled city and choose Delete.  This will remove the misspelled city from both the Individual profile and the Family Profile.
